Terms of Service
Last updated 14 September 2026
Who these terms are between
These terms are between Schoolmail Ltd, a company registered in England and Wales (company number 17412871), and the school or organisation (“you”, “the school”) that uses the Schoolmail staff admin panel, and the parents and guardians who use the Schoolmail mobile app to receive that school's content. By using either product, you agree to these terms.
What Schoolmail provides
Schoolmail is a branded parent app and staff admin panel that lets a school publish news, alerts, calendar entries, and documents to parents in a single place. We're currently onboarding schools through a Founding Schools Programme; features and pricing may evolve as the product matures, and we'll communicate material changes to onboarded schools directly.
School accounts and responsibilities
Schools are responsible for the accuracy and appropriateness of everything they publish through the admin panel, for keeping staff login credentials secure, and for ensuring any content involving pupils (names, photos, or other details) complies with the school's own safeguarding and consent policies. Schoolmail does not review or moderate content before it is published to parents.
Acceptable use
You agree not to use Schoolmail to send unlawful, defamatory, or harassing content, to attempt to access another school's data, or to interfere with the normal operation of the app or admin panel. We may suspend or terminate access for accounts that breach this.
Availability
We aim to keep Schoolmail available and reliable, but we don't guarantee uninterrupted service. We'll give reasonable notice of planned maintenance where possible, and we're not liable for issues caused by factors outside our reasonable control, including outages of the infrastructure providers described in our Privacy Policy.
Data
How we collect, use, and protect personal data is set out in our Privacy Policy, which forms part of these terms.
Ending the service
A school may stop using Schoolmail at any time by contacting us; we'll delete or return the school's data in line with our Privacy Policy. We may also suspend or end a school's access if fees agreed separately go unpaid, or if these terms are breached.
Liability
Schoolmail is provided as-is. To the extent permitted by law, we're not liable for indirect or consequential losses arising from use of the app or admin panel. Nothing in these terms limits liability for things that can't be limited by law, such as death or personal injury caused by negligence, or fraud.
Changes to these terms
If we make material changes to these terms, we'll update the date at the top of this page and let onboarded schools know directly.
